Who We Are

Neighbourhood Sessions is a live music event series run by Stephen Ford ("we", "us", "our"), based in Beckenham, South London. Neighbourhood Sessions is not a registered company — it's a trading name, and Stephen Ford is the person legally responsible for the personal data described in this policy.

We are the "data controller" for the purposes of UK data protection law, which means we decide how and why your personal data is used.

What this policy covers

This policy explains what personal data we collect, why we collect it, and what rights you have, across three parts of what we do:

Our general website, mailing list, and event communications
The Neighbourhood Sessions members area, including gig attendance, reviews, and photo uploads
The Neighbourhood Sessions merch shop

The information we collect

General enquiries and our mailing list

When you sign up to hear about upcoming shows, or get in touch through the website, we collect your name, email address, and (where you provide it) phone number.

This information is stored on our website platform, Wix, and synced to Mailchimp, which is the platform we use to send our newsletter and event announcements. We use this to tell you about upcoming shows, share details of a specific gig you've expressed interest in, and occasionally follow up afterwards. We don't sell, rent, or otherwise share this list with third parties for their own marketing purposes.

The members area

If you create a Neighbourhood Sessions member account, we collect the same core details — name, email, and phone number where given — plus:

The gigs you've marked as attended
Any reviews you choose to write about a gig
Any photos you choose to upload

Membership gives you access to member-only content and features, and keeps you on our mailing list for event news — you can unsubscribe from emails at any time using the link in any email we send, without affecting your membership itself.

Reviews

Reviews you write about a gig are public. They appear on the relevant event page alongside your member name, and are visible to anyone who visits our website, not just other members.

We reserve the right to review, edit for length, or decline to publish any review — for example if it contains content we consider inappropriate, defamatory, or unrelated to the gig. You can edit or delete your own review at any time from your member account.

Photo uploads

If you upload a photo through the members area, you're granting us a licence to display it on the Neighbourhood Sessions website — including on event pages, artist pages, and any gallery features — free of restriction, on an ongoing basis. This means you're confirming the photo is yours to share, and that you're comfortable with us using it in this way without further permission each time.

You keep ownership of your photos. We're not claiming copyright over them — we're asking for permission to use them as part of the site.

We reserve the right to decline to publish, or to remove, any photo at our discretion — for example if it's low quality, doesn't fit the site, or we have any concern about a person's consent to be photographed or a rights issue with the image itself. If we remove a photo you're unhappy about, let us know and we're happy to explain why.

Please only upload photos you took yourself, or that you otherwise have the right to share. Don't upload photos of other identifiable people without their knowledge that the photo may be published on our website.

Photography, filming and audio recording at events

We photograph, film, and sometimes record audio at Neighbourhood Sessions events, for use in promoting future shows — for example on our website, social media, and newsletter. As an attendee, you may appear in this material.

We rely on our legitimate interest in promoting Neighbourhood Sessions as the legal basis for this, rather than asking for individual consent from everyone in the room, which isn't practical at a live event. If you'd prefer not to be photographed or filmed, let us know before the event and we'll do our best to accommodate this — for example by avoiding you in shots, or letting you know where to stand. You can also ask us afterwards to remove a specific photo or video featuring you from our website or social channels, and we will unless we have a strong reason to keep it (for example, if it's part of a wider shot we can't reasonably re-edit).

This is separate from the members area photo uploads described above, which cover photos you choose to upload yourself.

The merch shop

When you buy something from the Neighbourhood Sessions merch shop, we collect the information needed to fulfil your order — your name, delivery address, email, and order details. This is handled through Wix's store platform.

Payment is processed by Stripe. If you choose to save a card for faster checkout in future via My Wallet, that saved card is stored securely within Wix's own PCI-compliant payment infrastructure — not by Stripe. Neither we, nor anyone at Neighbourhood Sessions, can see or access your full card details.

Your order and delivery details are shared with Printful, our print-on-demand fulfilment partner, solely so they can produce and ship your order directly to you. Printful acts as a data processor for this purpose — they don't use your information for their own marketing.

Cookies and analytics

Our website uses cookies and similar technologies via Wix's built-in analytics, Google Analytics, and Meta (Facebook) Pixel, to understand how the site is used and, where applicable, to measure the reach of our social media activity. These tools may collect information such as your IP address, browser type, device information, and pages visited.

Where required, you'll be asked to consent to non-essential cookies when you first visit the site. You can change your cookie preferences at any time through your browser settings.

Why we use your information, and our legal basis for doing so

UK data protection law requires us to have a valid reason ("lawful basis") for each way we use your data. Here's how that applies:

Who we share your information with

We use a small number of third-party services to run Neighbourhood Sessions. Each acts as a data processor on our behalf, under their own security and privacy commitments:

Wix — our website platform, hosting, members area, and secure storage of any card details you choose to save via My Wallet
Mailchimp — our email marketing and newsletter platform
Printful — merch order fulfilment and shipping
Stripe — payment processing for merch orders
Google Analytics and Meta (Facebook) Pixel — website and social analytics

We don't sell your personal data, and we don't share it with anyone else for their own marketing purposes.

Some of these providers are based in, or process data in, the United States or other countries outside the UK. Where this happens, they do so under recognised legal safeguards such as Standard Contractual Clauses or an equivalent adequacy mechanism, as required under UK data protection law.

How long we keep your information

We keep your mailing list and member details for as long as you remain subscribed or your member account is active. If you unsubscribe or ask us to delete your account, we'll remove your personal data, other than anything we're required to keep for legal or accounting reasons (such as order records for tax purposes).

We don't currently run an automatic deletion schedule for inactive accounts — we'll keep member data until you ask us to remove it, though we may periodically review and clear out clearly dormant accounts. If you'd like your data removed at any point, just contact us and we'll action it.

Your rights

Under UK data protection law, you have the right to:

Ask what personal data we hold about you, and get a copy of it
Ask us to correct anything that's inaccurate or incomplete
Ask us to delete your data (subject to any legal reason we may need to keep it)
Ask us to restrict or object to how we use your data
Withdraw consent at any time, where we're relying on consent (e.g. unsubscribing from emails)
Ask for your data in a portable format

To exercise any of these rights, contact us using the details below. If you're not satisfied with how we've handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Children

Neighbourhood Sessions events are open to all ages. Under-18s are welcome to attend, but always as part of an adult's booking — we don't accept bookings made directly by someone under 18. Where an adult provides a young attendee's name, or occasionally other contact details, as part of their own booking, we rely on that adult to have the authority to give us this information (for example, as a parent or guardian) and to be aware of, and comfortable with, our approach to photography, filming and audio recording, and to our mailing list, both described above.

The Neighbourhood Sessions members area — including public reviews and photo uploads — is intended for people aged 16 and over. When you sign up, we ask you to confirm you meet this age requirement, though we don't independently verify age. If we become aware that a member account belongs to someone under 16, we'll remove the account, including any reviews or photos posted from it, and delete the associated personal data.

Keeping your information secure

We rely on the security measures provided by Wix, Mailchimp, Stripe, and Printful to protect your data, and we take reasonable steps to ensure access to member and customer information is limited to what's needed to run Neighbourhood Sessions.

Changes to this policy

We may update this policy from time to time, for example as we add new features to the members area or change service providers. We'll update the date at the top of this page when we do. If a change is significant, we'll let members know directly.
